XLS Expands its E-Discovery Platform with Introduction of Native Redaction Capabilities

OmniX™ version 5.30 introduces integrated native redaction capabilities; brings greater efficiency and productivity to the document review process

ROCHESTER, N.Y., Dec. 6, 2011 – Xerox Litigation Services (XLS), the e-discovery division of Xerox Corporation, today announced the availability of OmniX™ version 5.30. The latest version of XLS’ web-based document review platform introduces native redaction capabilities, which enables users to redact Microsoft Excel™ files in their native format directly from OmniX with uninterrupted workflow, saving time and streamlining the document review process.

XLS' native redaction tool enables on-the-fly redaction of cells, columns, rows or entire worksheets in OmniX without importing, exporting or formatting files into TIFF. It also allows users to determine how to handle other cells in a file that might change in value when redacted. Users can choose to allow the values to change, convert all formulae to values, or keep formulae intact without updating the values. Users can also easily compare a redacted document with the original, preserved document, and view a detailed history of redactions made by other users. The redacted files can be produced in native format or in TIFF format.

“If you have ever redacted an Excel spreadsheet in TIFF format, you know what an error-prone, lengthy experience it is. Now, reviewers can simply select the cells or columns they want to redact - including those with formulae – and apply the redaction with a click of a button,” said John Schneider, XLS vice president of software development, who oversees XLS’ team of over forty software developers. “The productivity gains and reduction of risk are enormous.”

Although the ability to redact native files has been available for some time, there are a number of limitations with existing solutions. Currently, some of the most advanced review tools only offer cumbersome workarounds for redacting native files, involving the added step of stopping mid-review to convert the native file to a TIFF image before applying redactions. Other tools require users to import and export documents into different systems during the review to redact native files. Redacting formulae within native Excel files is an especially challenging task due to the complexity of capturing dynamic information that changes when the underlying data changes, which risks inadvertent alternation of data that is intended to remain static. Another limitation is the inability to track which cells have been natively redacted, which can be critical for quality assurance and second-pass review.

OmniX version 5.30 also introduces the following features:

  • Advanced data detection, which saves users time locating and highlighting formatted numerical data contained within documents, such as social security or account numbers
  • Corpus analysis, which allows users to quickly visualize the make-up of a set of documents by type and percentage, facilitating more informed decisions about how best to approach a review
  • Document coding consistency, which ensures reliable review results by enabling review managers to easily monitor reviewers’ coding across a similar set of documents following a first-level review or as a pre-production check
